The Problem

The client’s sales team used both Epicor BisTrack, their on-premise Enterprise Resource Planning (ERP) system, and HubSpot, their Customer Relationship Management (CRM) platform, to manage deals. This created data silos – deals created in one system weren’t automatically reflected in the other. This inconsistency made it difficult to track sales 

progress, manage customer interactions, and gain a holistic view of the sales funnel.

For instance, a salesperson might create a new deal in HubSpot for a potential customer needing equipment rentals. However, this deal wouldn’t automatically populate in Epicor, making it impossible to track inventory or generate quotes accurately. Conversely, a deal created in Epicor for an existing customer wouldn’t be visible within HubSpot, hindering communication and personalized outreach.

Solution

We implemented a bi-directional integration between Epicor BisTrack and HubSpot. This integration synchronizes critical data points across both platforms, including:

  • Companies: Customer information is synced to ensure both systems have a complete and up-to-date record of each client.
  • Contacts: Individual contact details within companies are synchronized, providing a centralized view of all customer interactions.
  • Deals: Deals created in either system are automatically reflected in the other, ensuring all sales activity is tracked and readily accessible.
  • Products: Product information, including pricing and availability, is synced to maintain consistency and accuracy across sales channels.
