Why we publish our pricing

Most companies looking to integrate HubSpot run into the same wall. They start gathering quotes. The numbers come back inconsistent. One vendor wants $40,000. Another quotes $8,000. A third says they need a four-week discovery phase before they can give you a number at all. None of them publish prices.

That is not how a serious purchase should work.

We built this page so you can budget your project before you talk to anyone, including us. You will find our actual prices, an honest comparison to every realistic alternative, and the long-term cost picture most quotes leave out. At the bottom you can build your own estimate in about two minutes.

The integration reality

HubSpot integrations are harder than they look. The connection itself is rarely the hard part. The hard part is everything around it. Field mapping that survives schema changes. Conflict rules when two systems disagree. Error handling when an API throws a 503 at 2 a.m. on a Saturday. Data quality work that nobody scoped because nobody knew it would be needed.

This is not theoretical. Roughly half of the customers who hire us come to us after a failed integration attempt. Some tried to build it in-house. Some hired a generalist agency. Some bought an iPaaS platform and never made it past the pilot. Every one of them paid twice.

That is the context for everything below. This guide is here to help you avoid being one of those companies, whether you end up working with us or not.

We have been doing this since 2013. We are a HubSpot Diamond Partner. We sync more than 20 billion fields a year across 300+ platforms, and we have a 98.5% client retention rate. We are telling you this so you know we are not guessing about any of what follows.

Compare your options

Your Integration Options Compared

There are five realistic ways to connect HubSpot to your other systems. Each has a place. We are going to be fair about all of them.

Option 01

Build it in-house

Best for

Companies with senior engineers who already understand HubSpot's API and have time to spare.

Typical cost

$120,000 to $180,000 in loaded annual cost for a mid-level developer, plus the opportunity cost of pulling them off other priorities. A simple integration that takes us eight weeks often takes an in-house team three to six months.

Trade-offs

No outside expertise. No shared library of recipes from past projects. Knowledge concentrated in one person who may leave. When the integration breaks (and it will), you own the fix.

Option 02

DIY tools (Zapier, Make, n8n)

Best for

Simple, low-volume use cases. One trigger, one action, contacts only.

Typical cost

$20 to $600 per month depending on task volume. Sounds cheap until you scale.

Trade-offs

Task limits force compromises. Technical support typically provided by the community, not support professionals. No support for HubSpot custom objects, engagements, attachments, or complex line item logic. No project management, no field mapping consultation, no error monitoring at the level enterprise data demands. Most of the failed integrations we rebuild started here.

Where Integrate IQ wins

Customers have access to our integration designers and software engineers throughout the life of their engagement with us. We support every HubSpot object, including custom objects, engagements, and attachments. No task ceilings. Built to handle billions of fields per year.

Option 03

Enterprise iPaaS (Workato, Boomi, MuleSoft)

Best for

Companies that need a centralized integration platform across many systems and have a dedicated integration team.

Typical cost

$25,000 to $75,000+ per year in platform fees alone, before any implementation cost. Implementation through a partner often runs another $50,000 to $150,000.

Trade-offs

Powerful, but expensive and slow. Requires specialized skills you will either hire or rent. Six-month rollouts are common. Platform fees continue forever.

Where Integrate IQ wins

A typical Integrate IQ project runs $3,450 to $18,400 in setup and goes live in eight weeks. No platform fees buried in your contract. We handle the engineering so your team does not need to learn another tool.

Option 04

Big consultancies (Deloitte, Accenture, KPMG, Slalom)

Best for

Multi-system, multi-year digital transformation work where HubSpot is one piece of a much bigger puzzle.

Typical cost

$200 to $400 per hour, often with minimums in the six figures.

Trade-offs

Senior partners sell the work. Junior consultants do the work. Long timelines. Heavy documentation overhead. Account managers between you and the engineers actually building your sync.

Where Integrate IQ wins

Senior people build your integration. You talk directly to them. Fixed pricing, not hourly creep. We are HubSpot specialists, not generalists with a HubSpot practice.

Option 05

HubSpot's own data sync (Operations or Data Hub)

Best for

Simple, native two-way sync between supported apps where the standard field mappings work for you.

Typical cost

Included in Operations Hub Professional or higher.

Trade-offs

Limited to the apps HubSpot supports natively. No custom transformation logic. No support for engagements or attachments. Does not extend to your ERP, billing system, or anything outside HubSpot's pre-built list.

Where Integrate IQ wins

We build what Operations Hub cannot, and we do it with the same kind of reliability you would expect from a native sync. We also work alongside Operations Hub when that is the right fit.

What Integrate IQ actually costs

Here is the full picture — every service, every number, no surprises.

Integration

Integration pricing scales with the number of HubSpot objects you are syncing and the direction of the sync.

What's included
  • Project management from kickoff to launch
  • Integration design along with your team
  • Established integration recipes refined over a decade
  • Custom sync builds, including custom triggers, sync logic, and data transformation for your specific business case
  • Support for every HubSpot object, including custom objects, engagements, and attachments
  • Eight-week typical project timeline
  • Year-1 continuity prepaid (12 months of maintenance, monitoring, and ongoing support)
Continuity: Continuity is $250 per month for one-way and $500 per month for two-way. Year one is paid upfront at signing. Monthly billing resumes from month 14. Continuity funds access to our proprietary middleware, Reposado; access to our project managers and integration designers; and access to our engineers.
Objects One-way sync Two-way sync
1 $3,450 $4,600
2 $6,900 $9,200
3 $10,350 $13,800
4 $13,800 $18,400

Pricing scales linearly beyond four objects. The quote builder below handles any combination.

HubSpot Onboarding

A note on the comparison to HubSpot's own onboarding: HubSpot offers onboarding starting around $1,500 for Professional. The price difference reflects what you are buying. HubSpot's onboarding is delivered through guided videos, recorded curriculum, and scheduled mentoring sessions. You configure the platform around how your team actually operates. Our onboarding is hands-on-keyboard making the changes. We build out your pipelines, custom properties, workflows, email templates, reporting dashboards, and data migration. You do not learn HubSpot during onboarding. Your portal gets configured, and your team starts using a working system on day one.

Tier Price (per hub, one-time)
Professional $4,000
Enterprise $6,000

HubSpot training

$5,000 per team or role track, one-time.

HubSpot Academy is free and excellent for self-directed learning. Live, role-based training does something different. We build a custom curriculum around your portal, your workflows, and your team's actual day-to-day. We run the sessions live, record them for future hires, and deliver written reference guides. We follow up two weeks after to address what came up in real use. Adoption is the difference between HubSpot working and HubSpot collecting dust, and adoption is what live, role-based training delivers.

Consulting

Portal architecture and consulting work outside the standard scopes is $200 per hour.

What it costs over three years

Year-one setup is the headline number. Three-year total cost is the number that matters.

Below is a representative comparison for a two-object, two-way HubSpot integration over three years. Your actual numbers will vary, but the pattern holds.

Path Year 1 Years 2-3 3-year total
In-house build $80K-$120K (dev time) $40K-$80K (maintenance + rebuilds) $120K-$200K
Zapier scaled $7K-$12K $5K-$10K (workarounds + overages) $12K-$22K
Workato / Boomi $90K-$200K $50K-$150K (platform + maintenance) $140K-$350K
Big consultancy $150K-$300K $30K-$80K (retainer fixes) $180K-$380K
Integrate IQ $15,200 ($9,200 setup + $6,000 yr-1 continuity) $12,000 ($500/mo from month 14) ~$27,200

What other quotes do not tell you

Every project has costs you do not see in the proposal. Here are the ones that show up most often.

The cost of a failed first attempt. A full 50% of our clients have already paid for an integration that did not work. That money is gone. The rebuild is what they pay us for.

Engineering time pulled from your roadmap. When your in-house team builds the integration, they are not building the next product feature. That tradeoff is rarely considered.

Platform fees that escalate. iPaaS platforms price by task volume, connection count, or data volume. Your pricing tier on day one is rarely your pricing tier in year two.

"Discovery" billed as a separate phase. Some agencies sell a discovery engagement before they sell the build. With us, discovery is a free 30-minute call.

Hours billed for work that does not ship. Hourly engagements have no ceiling. Fixed pricing has one.

Sync failures that corrupt data silently. A sync that runs but produces wrong results is worse than one that fails loudly. Cheap tools and inexperienced builders both create this risk.

What will this save you?

Cost is one half of the conversation. Return is the other.

If your team is spending hours every week on manual data entry, fielding tickets that an integration would have prevented, or losing revenue because your sales team cannot see what operations is doing, the ROI on integration is usually obvious within the first quarter. Many of our clients see the project pay for itself in under a year, often within the first six months.

Frequently Asked Questions

Frequently Asked Questions

Most of our integrations go live in eight weeks. Week one is kickoff and data mapping. Weeks two and three are the technical build. Week four is your review of the first sync direction. Weeks five and six handle the second direction (for two-way) or post-launch refinement. Larger or more complex projects can run longer, but eight weeks is the typical case.

Continuity covers that. If something breaks, our team fixes it. You do not get billed hourly for production issues. This is the part of the pricing model that protects you long after launch, and it is the part most other vendors do not include.

Yes. We work with clients across the spectrum, from companies with 50 employees to enterprises like MetLife. The pricing structure is the same. The complexity scales with your scope, not your company size.

Almost always. We have integrated more than 300 platforms. If your system has an API or even an automated scheduled export, we can typically connect it. The discovery call is the right place to confirm.

HubSpot's onboarding is delivered through videos and scheduled mentoring sessions. Your team does the configuration work, with their team available for guidance. Our onboarding is hands-on. We are on the keyboard configuring your portal: pipelines, custom properties, workflows, email templates, reporting, and data migration. You start onboarding with a generic HubSpot install. You finish ours with a working system that fits your business.

HubSpot Academy is excellent for self-directed learning. Our training is live, role-based, and built around your specific portal and workflows. The difference shows up in adoption. Teams that go through live, custom training use HubSpot well. Teams that watch videos often do not.

Year-1 continuity covers the period when your integration is most likely to need adjustments. Paying it upfront means your team has full access to ours during the critical first year, with no per-incident billing or scope debates. Monthly billing resumes from month 14, and you can cancel continuity at that point if you choose.

No. Operations Hub is one tool among many. We build integrations that work with or without it, depending on what is right for your scope and budget.

Monitoring, error handling, sync modifications when your business rules change, support via chat, phone, and email, and engineering work to keep the integration healthy as APIs and platforms evolve. It is the difference between a one-time build and a system you can rely on for years.

Yes. Continuity is monthly from month 14 onward. You can cancel any time after that. Most of our clients keep it because integrations need ongoing care, but the choice is yours. We have a 98.5% client retention rate.

Tim Ritchie, CEO of Integrate IQ

A note from Tim

We publish this much detail because the integration market makes it hard to be a smart buyer. Most vendors hide their pricing behind discovery calls. Most agencies pad their proposals with fluff. Most platforms quote you a license fee and let you find out about implementation cost later.

That is not how we want to work, and frankly, it is not how we would want to be sold to.

If you are sizing up an integration, an onboarding, or training, you should be able to put a real number on it before you pick up the phone. The page above gives you that. The quote builder gives you a ballpark. The discovery call gives you a firm quote, in the same meeting.

If we are the right fit, we will tell you. If we are not, we will tell you that too.
